Job Title: Part Time Office Manager (15 to 20 hours per week)
Must be available every Wednesday from approximately 7 a.m. to 6 p.m. Additional hours are flexible

Location: Vincennes, Ind. Livestock Auction Facility

Reports To:  Accounting Manager

Employment Classification: NonExempt

Summary/Objective:  Provide leadership to the office administration function in accordance with the company’s strategic and operating plans within their assigned facility ensuring the following areas are handled:  bookkeeping, office administration and support, personnel management, and customer service.

Responsibilities/Duties:

  1. Process all business activities through the branch computer systems and generate customer checks and buyer invoices. Maintain computer systems to be current with all UPI directives.
  2. Lead the preparation of bookkeeping packets and provide accounting reports as needed by management.
  3. Provide excellent customer service, by solving problems for customers and management as quickly and efficiently as possible.
  4. Manage accounts receivables, including set-up of new buyers through UPI’s application process and collecting delinquent accounts that may include calls to customers.
  5. Support the corporate office accounting department in reconciling general ledger accounts.
  6. Process general administrative expenses through the corporate office accounts payable department.
  7. Process bi-weekly timesheets for hourly workers through the corporate office payroll department, assist in collecting new hire paperwork and workers compensation claims, and answer basic employee benefit questions per UPI’s HR policies and procedures.
  8. Manage the branch office personnel. This includes the following management responsibilities:  recruiting, onboarding, training, scheduling, performance management, and employee relations.
  9. Organize office records in accordance with UPI’s retention schedule, provide a pleasant and efficient office work area, and project a good image to our customers.
  10. Proactively recognize areas that are cost savings and drive business processing improvements.
  11. Communicate effectively and professionally both internally and externally displaying a positive attitude at all times.
  12. Ensures that all company policies and procedures are followed.
  13. Informs and makes recommendations to the Corporate Accounting Manager on pertinent issues as appropriate.

Supervisory Responsibility:  Home branch office staff

Travel Requirements:  Occasional travel to include both daytrips and overnight travel.  

Education Requirements:  High School diploma or GED required.  Bachelor’s degree in Business Administration, Accounting, or related field preferred.

Certifications/Licenses:  None

Experience:  Three to five years of experience in office administration, bookkeeping, and accounting duties.  Prior experience in the Livestock industry preferred.  Prior supervisory or management experience preferred. Proficiency in MS Excel, Word, and Outlook required.

Physical Requirements: Typically involves sitting; Occasional lifting of up to 20 lbs.; Must be able to communicate, both by speaking and by listening over the telephone and in person. Must be able to hear by perceiving the nature of sounds at normal speaking levels with or without correction. Must be able to finger by picking, pinching, typing or otherwise working, primarily with fingers rather than the whole hand as in handling. Must be able to grasp by applying pressure to an object with the fingers and palm. Must be able to stoop by bending downward and forward by bending spine at the waist. Must be able to kneel by bending legs at knees to come to a rest of knees.  Must be able to reach by extending hand(s) and arm(s) in any direction. Must be able to walk by moving about on foot to accomplish tasks. Must be able to stand for sustained periods of time.

Work Environment: This work environment is indoors; dusty; may involve working around livestock as well as other people.
